How costs are calculated?

Standard archives

All standard archives are charged based on a fixed accession fee + a cost per file where the data to be archived exceeds 150 jpg/tif photography files. Storage and refreshment is free for the first 100 GB but anything exceeding this incurs an additional fee per GB of data. Unless stipulated below, the following costs apply to all archive deposits. All costs exclude VAT.

Exceptions

RICHeS & E-RIHS Access Fund awards

There is no charge for the deposition of datasets in the HSDS arising from awards under the RICHeS or E-RIHS Access Funds, provided such usage is non-commercial and takes place before 31 August 2029.  Please see our Deposit guidance for RICHeS & E-RIHS for more information.

Bespoke interfaces, query and map interfaces

The HSDS can offer a variety of specialist interfaces to make your data as widely accessible and visible as possible. Costs for these are charged based on day rates for relevant staff expertise. As a rough guide, an online query interface may cost c. £3000-£7000, whilst an interactive map interface may cost c. £5000-£15,000.  Please note that, unlike the data we preserve, special interface functionality has a finite life-span as web technologies change. The HSDS will undertake to keep special interfaces live for a period of 5 years, and thereafter on a best-efforts basis (although to date most of our interfaces have lasted 10+ years). 

Large archive fees

For collections exceeding 100,000 files or 1Tb of data, or for large multifaceted infrastructure projects, please contact us for costing advice and guidance. This is required because additional fees may be applicable to facilitate the project management and dissemination of more complex collections. 

Eligibility of fees in grant applications

The costs to deposit data in the HSDS are eligible in a wide variety of UK and EC grant schemes including UKRI, Leverhulme Trust, British Academy, Wellcome Trust, ERC and wider Horizon Europe funding. Please contact us if you have questions about including HSDS deposition costs in grant applications.

Additional data may be added to existing collections. Please contact us for costs. 

Data removal fees

In instances where a depositor requests a collection or file removal at any point post accession, the HSDS reserves the right to charge a withdrawal fee to recover time spent on processing the data, management and dissemination by the HSDS. Withdrawal fees may include all costs incurred by the HSDS up to withdrawal.
